This policy sets all clear rules for room reservation cancellation and monetary refunds for our private study room rental service. All customers who complete a booking are deemed to have fully read and accepted every clause on this page. This document works alongside our Booking Terms & Conditions and Privacy Policy, all rules apply exclusively to study space rental bookings made via our official website.

All cancellation requests must be submitted in writing to our official contact email hello@starcasters.uk, including your full booking name and exact reserved room session date. Verbal notice via phone or on-site conversation will not be accepted for formal cancellation processing.

2. Scenarios Eligible For Cancellation & Refund

2.1 Customer Initiated Voluntary Cancellation (Time Tiered Refund Rates)

  • Cancellation notice sent 7 or more full calendar days before your booked room session start time: 100% monetary refund will be issued back to your original payment method.
  • Cancellation notice submitted between 1 and 6 calendar days before your booked room session start time: 60% monetary refund will be issued back to your original payment method.

2.2 Company Initiated Mandatory Cancellation (Full 100% Refund Guaranteed)

We will fully refund 100% of all funds paid for your booking in all below unavoidable venue closure situations:

  • Emergency full venue closure for essential maintenance, equipment overhaul or deep sanitation that cannot be rescheduled.
  • Official local authority public safety restrictions that force us to suspend all on-site study room access.
  • Permanent breakdown of core room facilities which cannot be repaired before your reserved session start time, with no alternative equal-quality study space available for reallocation.
  • Unforeseen building safety incidents that make the venue unsuitable for customer occupancy.

In cases where we cancel your booking, you may also choose to reschedule your room session to any available future date with zero extra cost, as an alternative to receiving a monetary refund.

3. Scenarios Where Cancellation Requests Will Receive No Refund

3.1 Late Cancellation Within 24 Hours Before Session Start

Any written cancellation request received less than 24 hours prior to your booked room session start time will result in zero refund issued under all circumstances, regardless of personal reason for cancellation.

3.2 No-Show Without Advance Written Notice

If you fail to arrive for your reserved study room session and do not send any cancellation email before the session start time, no refund will be provided for the full booking amount paid.

3.3 Early Voluntary Departure Mid-Booking Session

Should you leave your assigned study room before the end of your full reserved session window for personal reasons, no partial refund will be processed for unused remaining rental time.

3.4 Booking Terminated Due To Breach Of Venue Usage Rules

Our staff hold the right to end your room booking immediately with no refund offered if you break our on-site venue rules, including but not limited to:

  • Creating persistent loud noise that disturbs other on-site guests
  • Carrying or consuming strong odour food, smoking or vaping inside the venue
  • Operating cooking or portable heating appliances in study rooms
  • Unauthorised filming, photography or live streaming without prior written staff approval
  • Hosting large social gatherings or commercial promotional events inside reserved rooms
  • Damaging fixed room fixtures, furniture or venue shared equipment

4. Official Refund Processing & Funds Arrival Timeline

  1. Once our team receives and approves your valid written cancellation email, we will launch internal refund processing within 2 full working days.
  2. All approved refund funds will be sent exclusively back to your original payment channel used to complete the room booking order; we cannot transfer refunds to alternate payment accounts or third-party individuals.
  3. After our internal processing step completes, funds typically take 5 to 8 standard business days to reflect in your personal payment account, depending on the processing speed of your personal payment provider.
  4. We bear no responsibility for delays caused by external payment provider systems beyond our direct operational control.

No cash refunds can be issued on location at the venue front desk; all refunds are processed digitally via the original payment route only.

5. Policy Modification Rules

We reserve the right to revise this refund and cancellation policy to match updated venue operation arrangements or national consumer service regulations. All revised clauses will be published directly on this website page, and all updates take full immediate legal effect once live online. All customers placing new room bookings after policy updates are bound by the latest published terms.

STARCASTERS LIMITED strictly follows all UK consumer service standards for refund and cancellation administration. We process all eligible refund requests fairly in line with the tiered time rules clearly listed within this document.

We do not provide partial or full refunds for personal schedule changes, minor inconvenience or unforeseen individual life events that fall outside the eligible advance cancellation time windows outlined above.

We accept no liability for delays to refund fund arrival times caused by external payment platform systems, personal bank processing schedules or incorrect payment account details submitted by customers at the point of booking.
